Add Services & Pricing
Manage the services you offer from the "Services" page. Only the Owner and Admin roles can access this page — for the Member role, "Services" doesn't appear in the navigation menu at all (see Roles & Permissions).
Each service can be configured with:
- Bookable: When turned off, the service is hidden from the public booking page, but its existing data isn't deleted.
- Image: Upload a photo representing the service.
- Name/Description/Category: You can add a new category directly from the form without leaving the page; the "Categories" option in the "⋮" menu at the top right of the Services list lets you manage existing categories separately (rename, reorder, delete).
- Price & duration: sale price (in dollars), service duration (minutes), internal cost (optional, used only for the profit report — not shown to customers), and buffer time before/after the service.
- How It's Carried Out & Resource: If only one party is served per time slot, keep the default "Carried out by one staff member (one booking at a time)" and no resource assigned. If multiple bookings need to share the same capacity (group classes, venue rentals, tickets), assign a resource instead — see Resources & Shared Capacity.
- Staff: Choose which staff members can perform this service — required with at least one person when "How It's Carried Out" is "Carried out by one staff member (one booking at a time)" (even with a resource assigned); only "No staff assigned (multiple bookings per slot)" can leave this empty (a resource-only service, where customers don't need to pick a person when booking).
- Customers choose a headcount: When enabled, customers can choose their own headcount when booking (with a min/max you set), and the total = headcount × unit price. This is independent of how many bookings are taken per slot or whether a resource is assigned, and can be turned on anytime.
- Consent documents: If applicable consent documents exist, they're shown under this service (read-only, or you can assign service-specific documents in addition).
Field Limits & Rules
| Field | Rule |
|---|---|
| Name | Required, up to 255 characters |
| Category | Required (add a new category directly from the form, or manage existing ones from the "Categories" option in the Services list's "⋮" menu) |
| Staff | Required with at least one person when "How It's Carried Out" is "Carried out by one staff member (one booking at a time)" (even with a resource assigned); can be left empty only for "No staff assigned (multiple bookings per slot)" (resource-only service) |
| Price | Required, numeric, capped at a system-configured high ceiling (most merchants won't hit it) |
| Duration | Required, 1–720 minutes (12 hours max) |
| Cost | Optional, used only to calculate gross margin in the "Service Profit" report — not shown to customers and doesn't affect the customer-facing price |
| Buffer time before/after | Optional, 0–60 minutes each, used to reserve prep/cleanup time before or after a booking. Not shown to customers — it only affects how available slots are calculated on the calendar |
INFO
"Cost" and "Buffer time before/after" are both optional fields. Leaving them blank doesn't affect whether the service can be listed and booked normally — they only affect two extended features: the profit report and calendar slot calculation.
Bulk Operations
If you have many services, use the import/export feature on the "Services" list page:
CSV Export
The exported CSV includes fields such as name, category, price, cost, duration, buffer time, whether it's bookable, and description. You can use it as a template for bulk edits before re-importing, or simply as a backup of your service list.
There's also a separate "Service Profit" report export, which calculates revenue and gross margin per service based on completed bookings — it's a different file from the service list export.
CSV Import
On import, the system matches by "service name" — if a service with the same name already exists under your business, its fields are updated; if no matching name is found, a new service is created. If the category column contains a category name that doesn't exist yet, the system creates it automatically — you don't need to create it manually beforehand.
WARNING
Import matching is an exact name match (case-sensitive). Changing a character or adding an extra space causes it to be treated as a different service and added as a new one, instead of updating the existing one. Before a bulk edit, we recommend exporting the current list first, editing that same file, and then re-importing it — this avoids creating duplicate data due to inconsistent names.
After an import completes, the number of successful rows is shown. If any rows fail validation (for example, missing a required field or an invalid format), the number of failed rows is also shown; failed rows aren't created or updated — fix them and re-import just those rows.
Customers Choose a Headcount (Per-Person Pricing)
When enabled, customers can choose their own headcount when booking (with a separate min/max), and the total = headcount × unit price. This is an independent setting on the service itself, and isn't affected by how many bookings are taken per slot (see Resources & Shared Capacity) or whether a resource is assigned. A one-on-one service can enable it on its own, and it can be turned on/off anytime.
Not Yet Supported
- Service variants: The system currently doesn't support sub-variants under a single service. If you need different prices/durations, create separate service entries.
Common Questions
Can a service have no staff assigned? Not when "How It's Carried Out" is "Carried out by one staff member (one booking at a time)" — at least one staff member must be assigned, so the system knows who to schedule, even if the service also has a resource assigned. To leave staff empty, switch "How It's Carried Out" to "Resource only, no staff needed," making it a "resource-only service" where customers only choose a time slot, not a person. See Resources & Shared Capacity.
If I turn off "Bookable", are existing bookings affected? No. Turning it off only hides the service from the public booking page and prevents it from being selected for "new" bookings — existing bookings aren't affected, and the service data itself isn't deleted. You can re-enable it at any time.
Can customers see the cost I entered? No. The cost field only appears in the business dashboard's Service Profit report — it's never shown on the public booking page or in any notification sent to customers.
Can I use CSV import to delete services? No. Import only creates or updates — there's no mechanism to delete existing services through it. To take a service down, use the "Bookable" toggle to turn it off, or delete it directly from the service list.
What's the difference between buffer time and duration? Duration is the time the customer actually occupies with their booking. Buffer time is extra time reserved for the merchant to prep/clean up — it doesn't count toward the customer's booked time slot, but it does occupy the calendar, preventing the next customer from booking immediately after.
Troubleshooting
| Issue | Cause & Fix |
|---|---|
| "Please select staff" shown on submit | Staff is required when "How It's Carried Out" is "Carried out by one staff member," even with a resource assigned. If you don't need staff, switch "How It's Carried Out" to "No staff assigned (multiple bookings per slot)" |
| Duplicate services appear after a CSV import | The name didn't exactly match an existing service (including case/spacing differences), so it was added as a new service. Fix the name and re-import, or merge them manually |
| Some rows fail during CSV import | Check whether the failed rows are missing required fields or have an invalid format. CSV import allows up to 1,440 minutes for duration and 120 minutes for buffer time (wider than the form's 720/60-minute limits) — make sure your values are within range and re-import |
| Image upload fails | Confirm the file is an image format and doesn't exceed the size limit (5MB) |
