Staff Schedules & Hours

Owner/Admin can manage every member's schedule; a Member can only manage their own.

Weekly recurring hours

On the Working Hours page, each member can:

  • Follow opening hours (default) — automatically applies the business's opening hours.
  • Customize working hours — set that member's working time slots for each day of the week; multiple slots per day are allowed (for example, a split lunch break). Custom hours can't extend beyond the business's own opening hours, and you can revert at any time with Reset to opening hours.

Day-specific schedule adjustments

On the Schedule overrides page you can set, for a specific date:

  • Time off
  • Working hours adjustment (with a note)

You can only choose one per day (setting one overrides the other).

You can also select a date range with weekday conditions to apply the same setting in bulk across multiple days at once. Bulk apply has an Overwrite existing overrides toggle: when off, dates in the range that already have a setting are skipped and only unset dates get the new setting; when on, all existing shifts for that day (including split shifts) are cleared first before applying the new setting — make sure there's nothing in the range you don't want overwritten before turning this on.

Impact on the customer booking page

A member's working hours and schedule settings are the main factor determining which time slots are bookable on the customer booking page. If a member is set to time off, or a time falls outside their working hours, that member's services won't appear as bookable at that time.

Limits on customizing hours

Before switching to Customize working hours, the system checks whether the business itself has opening hours configured. If the business has no opening hours at all, the system blocks the change and prompts you to set them up under Opening Hours first, to avoid accidentally setting a member as unavailable for the entire week.

Every custom time slot must:

  • Fall within the business's opening hours for that day: it can't be a time the business isn't open, and it can't span across a gap when the business is closed, such as a lunch break (for example, if the business is open 10:00–13:00 and 14:00–18:00, a member's custom slot can't be set to 12:00–15:00, because it spans the business's closed lunch gap in between).
  • Have a start time before its end time, and multiple slots on the same day can't overlap.

If any rule is violated, saving shows the corresponding error and stays on the same screen — nothing is partially saved.

Day-specific schedule vs. weekly recurring hours

A day-specific schedule adjustment (time off / hours adjustment) takes priority over the weekly recurring hours, and the two are mutually exclusive at the "day" level — a given day can only be time off, or have one adjusted set of hours, not both. To revert to the week's recurring schedule, simply delete that day's individual adjustment.

Common Questions

If I switch back to following opening hours, will I lose my previous custom settings? Clicking Reset to opening hours clears that member's custom hours record and switches back to following the business's hours. If you want to customize again later, you'll need to set the time slots again — the previous custom settings aren't kept as a backup.

Can a Member see other colleagues' schedules? No, the Member role can only view and adjust their own schedule. Viewing or adjusting other members requires Owner/Admin permissions.

If the business changes its opening hours, do all members set to "follow business hours" update automatically? Yes. For members set to follow opening hours, their bookable time slots immediately reflect the business's latest opening hours — no manual update needed per member. Only members with Customize working hours keep their own set time slots and aren't affected by changes to the business's opening hours (though they're still bound by the rule that custom slots must fall within the business's opening hours — if the business shortens its hours and an existing custom slot now falls outside that range, that member's custom hours need to be adjusted again).

Why did saving a time slot for a member fail? The most common reason is that the slot extends into the business's non-operating hours (for example, spanning a lunch break), or two slots on the same day overlap. The system clearly indicates which day and which type of error occurred — adjust the range as instructed.
