Roles & Permissions
Dolyu has three roles: Owner, Admin, and Member.
What each role can do
| Action | Owner | Admin | Member |
|---|---|---|---|
| Confirm / cancel / complete / mark no-show for appointments | Yes | Yes | No |
| Manage services, customers, consent forms, etc. | Yes | Yes | No (pages are fully inaccessible, not just read-only) |
| Invite / remove team members | Yes (anyone) | Yes (Members only) | No |
| Change other members' roles | Yes (including transferring ownership) | Yes (can only move a Member between Admin and Member) | No |
INFO
A business can have only one Owner. Granting someone else the Owner role is a "transfer" — the previous Owner is automatically demoted to Admin. An Admin can't change the role of another Admin or the Owner; they can only manage Members.
Removal and leaving
- Removing a member: Owner/Admin can remove other members; the Owner can't be removed, and you can't remove yourself. If the removed member is the current subscription payer, the system also handles billing handover (the subscription is scheduled for cancellation and the new Owner needs to resubscribe).
- Leaving a business: you can only act on your own account. The Owner can't leave (must transfer ownership first), and if you're the last remaining Admin, you also can't leave or be removed — a business must always retain at least one Owner or Admin.
After a member is removed, their history (past appointments handled, etc.) is kept, but their schedule and assigned bookable services are cleared immediately — customers immediately stop seeing that member's available time slots.
"Last manager" protection
A business must always retain at least one Owner or Admin. The system checks this before three operations: demoting an Admin to Member, removing an Admin, and an Admin leaving on their own. If that Admin is the sole remaining Owner/Admin, the operation is blocked and another Admin must be assigned first. This protection doesn't affect demoting/removing/leaving as a Member, nor does it affect the Owner (the Owner can't be removed or demoted — only transferred as a whole).
What actually happens when ownership is transferred
Transferring ownership to a team member swaps roles (the previous Owner is automatically demoted to Admin) and also triggers a billing handover:
- Since the subscription's payment method is tied to the original payer (a credit card can't be directly "transferred" to someone else), the system schedules the current paid subscription to cancel at the end of the current period.
- The new Owner will see a Take over subscription button on the Subscription page (see "Take over subscription" below). Completing it before the original subscription expires continues the same billing cycle seamlessly — no need to cancel and resubscribe, and no risk of double charges.
- If the successor has already reached the platform limit on the number of businesses they can own, the transfer is rejected (the message prompts you to choose someone else or close another business first).
Take over subscription
After the previous Owner transfers ownership, if the original subscription is already scheduled to cancel at period end (see above), the new Owner will see a Take over subscription button on the Subscription page (only the current Owner can do this — Admins don't see this button). Steps:
- Clicking it opens a modal with a link to the Creem billing portal — first switch the payment method to your own card there.
- After switching cards, return to the modal and check I have updated the payment method to confirm.
- Submitting immediately switches the subscription to be paid by the new Owner, continuing on the original billing cycle with no double charge and no gap in service.
This button only appears when all of the following are true: the subscription is indeed scheduled for cancellation, the person acting isn't the original payer, and that Creem payment account isn't shared with another business (a shared payment account requires the regular resubscription flow instead — see Manage Your Subscription).
INFO
Only the current Owner can make anyone else the Owner — even though an Admin can adjust roles, they can only move people between Admin and Member, and can't designate the next Owner themselves. This prevents someone from bypassing the UI restrictions to seize ownership of the business.
If the member who was just removed or who left happens to be the current subscription payer, the system automatically hands billing over to the business Owner using the same logic. If the business's Owner field happens to be empty at that time (for example, the previous Owner's account was deleted by the platform and hasn't been reassigned yet), removing that member is temporarily blocked until an Owner is assigned, to avoid leaving a subscription with no one able to manage it.
Common Questions
Can an Admin demote or remove another Admin? No. An Admin can only manage Members — they can't change the role of another Admin or the Owner, and can't remove another Admin either. Only the Owner can perform these actions.
Can I transfer ownership to someone who hasn't joined the business yet? No, the recipient must already be a member of the business (invite them first via Invite Team Members, then transfer).
Can I change my own role or remove myself? No, role changes and removal can't be performed on yourself. If the Owner wants to step down, use "transfer ownership" rather than removing yourself.
Can a removed member still see the appointments they handled in the past? Removal takes away that account's access to the business's team — it doesn't affect any notifications/records the account itself received, but they can no longer log in to that business's panel. The business's own appointment records retain the operator information and aren't affected by the member being removed.
