Invite Team Members
Only the Owner and Admin roles can invite new team members.
How to invite
Go to the Team Members page, enter the invitee's email, and send the invitation. The system sends an invitation email with a link that expires in 7 days.
INFO
The invitee needs to have (or create) their own Dolyu account — the invitation itself doesn't create an account for them. They must log in or sign up using the invited email before they can join your business.
New members always join with the Member role. If they need higher permissions, adjust their role afterward on the Team Members page (see Roles & Permissions).
Managing pending invitations
The invitation list under Team Members shows each invitation's email, inviter, invited time, expiry time, and status (pending / expired), and provides:
- Copy invitation link
- A three-dot menu at the end of the row: Resend (recalculates the 7-day expiry) and Cancel invitation
Seat limits
Before sending each invitation, the system checks the seat limit on your current subscription plan. If the limit is reached, you'll need to increase your seat count (see Manage Your Subscription) before you can invite more members.
Common reasons an invitation can't be sent
Before sending, the system checks the following conditions in order. Any failure blocks the invitation and shows the corresponding message:
| Condition | Message shown |
|---|---|
| Too many invitations sent in a short time | "Invitation actions are happening too fast. Please try again later." (max 5 invites/resends per business every 5 minutes) |
| This person is already a team member | "This person is already a team member" |
| This person already has an unexpired pending invitation | "An invitation has already been sent to this person" — use Copy invitation link or Resend from the invitation list instead; no need to send a new invitation |
| Seats are full | Shows the current seat limit and directs you to adjust your seat count |
| The business is a demo account | Demo businesses can't invite members |
INFO
If the same email's previous invitation has already expired (not accepted within 7 days), re-inviting refreshes that invitation's link and expiry directly — you won't see an "already exists" error, and it doesn't affect re-inviting the same person.
Possible issues when accepting an invitation
After the invitee clicks the invitation link, the system re-validates the following conditions. If any fails, they can't join:
- Invitation expired or already used: ask the business to resend the invitation.
- Login email doesn't match the invited email: make sure to log in or sign up with the exact email the invitation was sent to.
- This person is already a team member: they won't be added again.
- The business's seats filled up in the meantime: this can happen if two people accept invitations at the same time, or if someone lowered the seat count after the invitation was sent — ask the business to adjust seats and try again.
- Account has been suspended by the platform: can't join any business through an invitation.
Common Questions
What if the invitation email is lost or can't be found? Find the invitation in the invitation list on the Team Members page and click Resend. The expiry recalculates to 7 days — no need to cancel and recreate it.
Can I invite someone who already works at another business? Yes. The same Dolyu account can join multiple businesses at once, with different roles at each, and switch between them after logging in.
What happens if someone else clicks the invitation link first? The invitation link itself isn't single-use-locked, but the acceptance flow is protected against concurrency — even if two tabs try to accept the same invitation at the same time, only one succeeds. There's no risk of duplicate joins or seats being deducted twice by mistake.
Does a new member have to use the email from the invitation to join? Yes. The login email must exactly match the invited email (case-insensitive), or they'll be denied.
